How to manually add a product on the eMAG Marketplace platform?

()

This tutorial will provide you with information and details about:

How to start listing a product manually

The product presentation page is where customers can access information about your product. On the eMAG Marketplace platform, you can add two types of products: basic and advanced.

If the same product is sold by multiple sellers on the platform, identical products are grouped on a single product page. This simplifies and speeds up the search, offer comparison, and purchase processes for customers.

To list a new product, go to the Products – Add Product section.

You can check if the product you want to list is already available on the platform by entering the EAN or PNK code in the Add products from the eMAG catalog field and clicking the blue Search button.

If an identical product already exists to the one you want to list, you can associate with it by completing your product offer (adding the price and available stock) and clicking the Add Offer button.

How to associate your new product with an existing product on the platform

The association with an identical product already listed on the platform is based on the EAN code or PNK (the unique code assigned to the product after approval, which can be found in the product link on the site).

The association with an existing product has the advantage of allowing your product to be validated as soon as you complete and save the form displayed by clicking the Add Offer button.

Here’s what you need to fill in:

  • The sale price,
  • VAT – the percentage corresponding to your company,
  • Price validation: Minimum and Maximum price thresholds (these are safety fields that help you avoid setting a price that is too low or too high for your product, thus preventing the risk of revenue losses).
  • Stocks – enter the number of units available for your product.
  • Identification – add the EAN code of your product.
  • Manufacturer details
  • EU Responsible person details

At the end, click the Add Offer button, and your product’s offer will be displayed on the site.

Adding an advanced product

If no product appears after searching in the eMAG catalog, you can start filling out the manual listing form for your new product.

An advanced product contains, in addition to basic information, all supplementary recommended details that fully describe the listed product.

To list a product on the platform one by one, you need to click on the Add products manually button and complete all the sections available in the listing form.

A product must include the following elements:

  • Product Name
  • Brand
  • Category
  • Product Code
  • Product ID
  • EAN Code
  • Source Language
  • Images
  • Mandatory characteristics
  • Recommended characteristics (play an important role as they act as search filters on the website, helping customers quickly find the desired products).
  • Optional characteristics (provide additional details about the product that help customers better understand its qualities, increasing the conversion rate).
  • Product Description
  • Sale Price
  • PRP (Recommended Retail Price)
  • VAT
  • Price Validation: minimum and maximum thresholds
  • Stock
  • Warranty
  • Volume (dimensions of the packed product).
Step 1: Setting the Title and Brand

Rules for filling in the title and brand:

  • The product title must be descriptive, short, and to the point, following the general eMAG documentation standard:
    • Product type,
    • Brand,
    • Model,
    • Attributes such as size, color, capacity, or other important characteristics.
  • All title elements must be separated by commas.
  • For products sold as a set, mention that it is a “Set” and include the number of pieces in the set.
  • If the product comes in 3 or more colors, the “Color” attribute in the title should be marked as “Multicolor.”
  • Product dimensions must be added using the “x” character, e.g., 30×45 cm, 10x15x22 cm.
  • There should be no differences between the information presented in the title and the information in other documentation sections (features, description, images).
  • The brand in the title must match the brand entered in the Brand field below (as it was officially registered).
  • If the product brand is “OEM,” this value should not be included in the product title.
  • For products in the “Mobile Phone Accessories” category that do not belong to Apple and/or Samsung brands but refer to these brands, use expressions such as “compatible with brand X” or “for brand X”.

The name of a product must NOT:

  • Contain adjectives like “wonderful,” “amazing,” etc.
  • Include other product models with which the product in question is compatible (use the compatible products section for this purpose).
  • Contain details specific to your offer, such as: company name, free delivery, price, etc.
  • Contain common words written entirely in uppercase (CAPS LOCK), except for common expressions and acronyms (e.g., HDD).
  • Contain word abbreviations.
  • Include punctuation marks other than “,”.
  • Include the following characters: “&”, “”, “|”, “+” as connectors between words.
  • The brand represents the product’s trademark and may differ from the name of the manufacturer or the product itself.
  • If you are the manufacturer of the product, in the Brand field, you will enter the name of your company, excluding the company acronym (Kft., etc.).
  • If the company name is not registered with OSIM, then in the Brand field, you will enter OEM“OEM” is an acronym for “Original Equipment Manufacturer”.
  • If the brand you enter does not already exist on the platform, an error for an invalid brand will appear when uploading the product, requiring proof of the existence of the brand you have entered.
  • If brand validation is necessary, please open a ticket in the Message center -Contact Marketplace section by clicking the +Add new discussion button, selecting the category My Products – Brand Validation, and providing the OSIM-issued certificate or a clear image where the product’s trademark is visible (label, box, packaging, etc.).

To make it easier for you to correctly set the titles of your products, we have created a naming standard for the product categories where the most cases of product invalidation for this reason have been registered over time. These categories are: Auto, DIY, Fashion & Sport, Home & Deco, IT, Media & Office Supplies, Mobile, and Toys.

Here you will find general rules to guide you in completing your product titles, as well as examples of product titles adapted to the specifics of each category mentioned above, giving you everything you need to know about how to correctly complete product titles.

Step 2: Setting the Category

The correct category is a crucial factor when it comes to filtering the product and its features. Each category will generate a set of specific characteristics, which vary depending on the subcategories.

After you have completed the product name, category suggestions will be displayed automatically.

  • Check the suggested options and choose the one that best fits your product.
  • If the displayed options don’t seem suitable for the product you want to list, you can search for the correct category after identifying it on the eMAG platform by searching for the product type.
  • If you do not already have access to the category you want to set for your product, go to the Products – Category Access section and click the Request Access button.
  • Once your request is approved, a Commercial Annex confirming your access to that category will be generated.

You will find the Commission Annex in the My Account – Legal Documents section, and to gain access to the requested category, you will need to approve the issued annex.
For some categories, access will be granted automatically without requiring further action on your part.
However, in some cases, a specific procedure may apply, requiring you to provide a series of documents, especially for categories referred to as High-risk.

You can submit the required documents through Message Center by selecting the High-risk Products category.

Step 3: Adding the Product code, EAN and source language

In the Draft section of the listing form, you will find the fields: Product ID, Product Code, and EAN:

  • Product ID represents a unique internal identification code and must be numeric (this cannot be changed after the product is saved).
  • Product Code represents a unique internal identification code, and it can contain numbers, letters, and/or punctuation marks.
  • EAN is the barcode attached to products or goods sold, whose information is read optically using special scanners. It is unique for each product model, must be filled in during the product listing process, and is mandatory for most product categories. Here, you will fill in the numbers from the EAN code exactly as they appear on your product.
  • Source language – you will select the language of the product documentation.

Not every 13-digit code is a valid EAN code. It’s important to use GS1-licensed EAN codes, as these comply with GS1 standards. If you purchase EAN codes from other sources and not in the GS1 specific format, the uniqueness, traceability, or associated information cannot be ensured.

For example: the campaign that generated the code or the product the code was assigned to. Adding an EAN code without a GS1 license will lead to product rejection with the reason of an invalid EAN.

Download and complete the membership form on the GS1 Hungary site, for purchasing GS1-licensed EAN codes.

How to identify your product code

The EAN code is added to the product packaging in a visible place. Some products have an EAN attached to both the box and the product. When it is in both places, you must use the EAN attached to the product.

If a single product has multiple EAN codes, you can attach them all by clicking the plus button next to the EAN field.

If you want to delete an EAN code, go to the right of the field containing that code and click the Delete button.

Step 4: Adding the characteristics

Product features are important because they provide additional information that customers can benefit from when accessing your product, and most features also serve as search filters on the site.

Filters play a very important role in the discovery and navigation process on the eMAG Marketplace platform. A small number of specified features increases the chance that your products will be overlooked by customers when they apply a specific filter.

Type of characteristics:

  • Basic features are the mandatory ones that make up a minimum set of information needed to upload the product on eMAG Marketplace.
  • Advanced features consist of optional and recommended characteristics. Completing these is optional but plays a very important role in increasing the number of visits to the product page.

Next to each characteristic, you’ll see one of these icons displayed:

  1. Mandatory: Provides visitors with useful information and are mandatory to be filled in.
  2. Filter (recommended): Recommended features act as filters for products on the site. If left unfilled, filters applied by customers will exclude your products from display.
  3. Restrictive: For certain types of features, you can only select values from the available options. If your product has a different value than those available in the restrictive field, there’s a message box to the right where you can propose other values. You’ll be notified if your proposal is approved or not. When filling in each field next to the features, click “Enter a value.” You’ll automatically receive several options already inserted by other sellers. You can use any of these values or enter a new one.
  • For each feature, you can add multiple values by clicking the Plus button next to each field.
  • If you wish to remove a value, click the X on the right side of the field.

  • Ensure that there are no discrepancies between the completed characteristics and the information presented in other sections of the documentation (title, description, pictures).
  • When a product is available in multiple variations of colors, sizes, or dimensions, you must add the attributes specific to each product variation, not all the attributes available for that product.
  • Ensure that for the “Size” field, you enter values such as 2XS, 2XL and not values like XXS or XXL.
  • Do not add special characters like !,@,#,$,%,^,&,*,(,).
  • Do not write common words entirely in uppercase (e.g., NATURAL LEATHER). Exceptions are made for usual expressions and acronyms (e.g., SSD, DVD, UHD).
Step 5: Adding Images

For a complete presentation of the product, you need to upload the main image and the secondary images. In the Images section of the product listing form, click the Browse button.

  • For uploading images, you can also use the drag & drop option from the “Upload file here” area.
  • Choose the main image by changing the order of the added photos.
  • On the right side of the image, you have a delete button available.
  • You can use it if the uploaded image is not appropriate or does not meet eMAG Marketplace standards.
  • After you have added all the product images, save the changes.

What the main image must contain

  • It should display the product entirely.
  • It must be clear, with the product centered and occupying as much of the image surface as possible (approximately 85%) to be properly observed.
  • It should present only the version (color, size, shape, etc.) of the product that the customer will receive.
  • It is recommended that the product be photographed on a white or gray background.

However, environmental background can be used in the main product images if they are professionally taken and belong to categories that allow this type of background.

Images with ambiental background are accepted only for these categories:

  • Auto,
  • Travel & Sport,
  • Fashion,
  • Home&Garden,
  • Media&Toy.

Elements that can be included in the main product image

The following details are also accepted in the main image:

  • Zoom detail images are accepted to highlight certain product features

  • Images with double perspective – Where the product is captured from two different angles (front/back, front/side).

  • Images with the product featured by a character – Where a person or an animal is depicted using the respective product.

  • Images of the product with relevant supporting elements

  • Images containing size lines or package content details

  • Images containing smartphone app only if there is a disclaimer in the description stating that the smartphone is not included in the package.

  • Images containing text in English language for maximum 6 key features.

Examples of non-compliant images

  • Images of the product on a background of another color.
  • Images with an environmental background presented in an unprofessional manner.
  • Images suggesting the existence of a promotion.
  • Images containing logos, watermarks, or texts that cover too much space of the image.
  • Images showing the product from other angles or containing collages.
  • The image quality is poor, with visible signs of editing, or the product occupies insufficient space.

Technical specifications for images

  • Images can be saved with the extension: JPG (.jpg), PNG (.png), JPEG (.jpeg), GIF (.gif), but dynamic GIF images are not accepted.
  • The recommended minimum size is 400 x 400 pixels.
  • If the image does not meet the format, the eMAG system will attempt to resize it automatically, only if the product dimensions in the image are at least 300 x 300 pixels.
  • The maximum accepted size for an image file is 8 MB.

Types of images not accepted on the platform

  • Images of other products;
  • Images containing different logos, watermarks, or collages;
  • Promotions created by the seller;
  • Images that do not match the information presented in other sections of the documentation (characteristics, description, name, etc.);
  • Images that are not available for download using the provided links;
  • Images containing too much text;
  • Images with text in a language other than English.

👉These criteria apply to both the main image and the secondary images of the product.

The secondary images

The role of secondary images is to provide as many details about the product as possible, details that the main image could not highlight.

  • Secondary images should be numerous enough to describe the product in detail.
  • Add a minimum of 3-5 secondary images to showcase your product in detail; for these, a white or light gray background is not mandatory.
  • They should be as explanatory and representative of the listed product as possible.
  • They must present the same version of the product as in the main image.

Secondary images should not contain

  • Inserted elements: watermarks, collages, logos, links to other sites.
  • Texts about product features in languages other than English.
  • Other products from the same range.
Step 6: Filling in the Description

It is recommended to add a detailed description of approximately 500 words that includes as many details about the product as possible. In the editing area, you will be able to add text, images, or video clips.

What to Do for an Optimal Product Description

  • The description should match the information filled out in the other sections of the documentation: name, images, or features, and should accurately represent the specific product.
  • Make sure the description text is grammatically correct in Romanian and easy to understand.
  • You can use plain text, but for a better product presentation, you can add images, demo videos, or HTML-formatted text to describe the product’s functionality.
  • Include objective information about the qualities, advantages, how it works, contents, capacity, components, storage, and usage of the product.
  • Focus on features that differentiate your product from others, without referencing competitor products.
  • If you’re using images or demo videos, consider adding an unboxing video so that customers can better visualize the product being described.
  • Include in the text any detail that couldn’t be captured visually, suggest ways to use the product, and offer tips for its proper storage and usage.
  • If there are accessories, a warranty certificate, or other elements, list them and ensure they will be included in the package.
  • Indicate how the product will be packaged upon delivery—whether it comes in a single package or is disassembled and shipped in multiple parcels.
  • For fashion products, we recommend adding a size chart specific to the product, which you can get from the manufacturer or supplier. This helps customers choose the correct size when ordering.
  • Each combination of product type – color/size/dimension must be described individually, as a unique product (EAN, ID, Unique Product Code), so write the description for one specific attribute only (e.g., color).
  • Grouped products will be displayed individually on the site, and when the customer accesses a product’s page, they will see the available color or size options listed alongside it.

What Not to Do When Writing the Product Description

  • Do not mention: the product price, warranty, delivery costs, stock availability, or your contact information, website, or email address.
  • Do not use superlatives such as “wonderful, exceptional, superb” or promotional messages like “special offer, buy now for only, take advantage of this deal, shop now,” etc.
These will result in product documentation errors, and the product will not be displayed on the site.
  • Do not insert hidden hyperlinks in the description (words that lead to another web page when clicked), or demo images/videos that link to another product or an external site where the product can be found.
  • Do not use poorly edited, low-resolution, or unclear images, as they will cause the product to be rejected from the eMAG Marketplace platform.

💡 Filling in the safety information – “Safety information”

It is necessary for the economic operator to ensure that all consumers are informed about potential risks associated with products.

Therefore, below the field dedicated to completing the product description, you must also complete the specific details for Safety Warnings. These serve to inform customers about how to use the product safely, for example:

  • the product’s user manual — add attachments in the language of the country where you sell your product. If you sell on all eMAG Marketplace platforms, the user manual should be available in Romanian, Bulgarian and Hungarian versions.
  • images of labels on the product’s packaging
  • note with warnings about the product.

  • These will be completed similar to the product description field, and will be common to all offers attached to that product (PNK).
  • You will be able to complete safety information according to GPSR only if you have permission to update documentation for that product.
  • If you do not have permission to update documentation, you can request us in Messaging, category Product-Product information/review to update safety information for these products.
  • The completed safety information will not be displayed immediately in the product documentation but will be subject to the validation process, similar to any documentation update.

We remind you that from December 13, 2024, the General Product Safety Regulation (GPSR) (EU) 2023/988 requires all economic operators marketing products in the European Union to comply with specific requirements to ensure consumer safety and product compliance.

Main requirements:

  • Information about the manufacturer and responsible person: Sellers must provide the following details about the manufacturer or EU responsible person:
    • Name,
    • Address
    • Email
  • Safety information: The economic operator must ensure that all consumers are informed about potential risks associated with products.
  • Product documentation: Sellers must maintain complete documentation for their products, ensuring all necessary safety information is available.
  • Product traceability: All sellers must ensure that products can be traced back to their source, thus facilitating accountability and safety checks.
  • Labeling compliance: Products must comply with the specific labeling requirements set out in the Regulation.
  • CE marking: Products must bear the CE marking, indicating compliance with EU safety standards.

We recommend that you consult the GPSR regulation in detail and ensure that all your products meet the necessary safety and quality standards.

Adding images to the description

Click the Image button in the editing area.
In the opened modal, you need to add a valid image link that you can obtain from your own website, the manufacturer’s site, or any other site available in search engines, while respecting the usage conditions for copyright-protected images.
To get the image link, right-click on the image and select Copy Image Address.
Ensure that the copied link ends with the extension .jpg or .png.

  • Return to the window where you are going to add the image and paste the link into the URL field. You can also add an alternative text for each image—text that correctly describes the image.
  • Choose the appropriate size for the image by filling in the width and height.
The standard width for an image inserted into the description is 800 pixels.
To add a border to the picture, fill in the Border field with an integer representing the border thickness, which will be black. Changes are immediately visible in the Preview window.
  • To move the image to the left or further down, use the Hspace field to move the image horizontally from its initial position and the Vspace field to move the image vertically from its initial position by adding an integer.

  • If you want to add a video clip to the description, you need to click on the Source button.
  • We recommend using embed codes only from YouTube to avoid errors. (Embed codes can be found on the video page, just below it, where there is a Share option). The Source window helps you enhance the description area with video clips, images, and special tables where you can display all the useful information about your products.

As with images used in the description, ensure that you do not violate the intellectual property rights applicable to the video clips used.

The videos must contain only information about the product described, without referencing another product, must present the actual features of the product, and must not include logos or other promotional elements.

After adding the video to the description, save the changes. The product will re-enter the validation process where it will be reviewed by the documentation team.

HTML is a programming language used to define the content of a web page. Many HTML codes can also be used to enhance the product descriptions uploaded to the eMAG Marketplace platform.

By using HTML tags, you can insert images and video clips or highlight certain areas of the text content in the description.

👉 Examples of HTML tags you can use:

  • Paragraph elements <p> are used for editing text paragraphs. Use them when you want to mark the text content in the description.
    • Opening tags indicate where the element starts or begins to take effect. In our case, <p> is the tag that indicates the beginning of a paragraph.
    • Closing tags indicate where the element ends or ceases to have an effect, meaning where the paragraph ends </p>.
  • Heading elements allow you to turn certain parts of the text content into headings or subheadings. HTML contains six levels of headings from <h1> to <h6>, depending on the format you desire.
  • Using the <em> tag will italicize the text.
  • Using the <b> tag will bold the text.
  • If you use the <center> tag, the text will be centered.
  • The tag <p style=”text-align:right;”>Text</p> aligns the text to the right.
  • With <p style= “text-align: left;”> Text </p>, the text aligns to the left.
  • And the <u> tag will underline the text.

You can even copy HTML codes from other web pages, such as from the manufacturer’s page, and add them to your description, as long as they meet eMAG’s standards.

Step 7: Setting the Price and Stock

In the price and stock section, you will need to fill in the details regarding the product offer, namely:

  • Sale price – enter the sale price without VAT (if the company is not VAT registered, enter exactly the selling price of the product that will be displayed to customers).
  • RRP – is the manufacturer’s recommended price, and it must be higher than the selling price and is completed without adding VAT.
  • VAT – select the VAT rate that applies to the base price.
  • Price validation: Minimum threshold – add a minimum price below which the price displayed on the site cannot fall, it must be a value lower than the selling price.
  • Price validation: Maximum threshold – add a maximum price above which the selling price cannot increase, it must be a value greater than or equal to the recommended price (if completed) or the selling price.
  • Stock – set the number of units available for sale.
  • How many days you can restock – optional, you can select the number of days needed to restock.
  • Warranty – data about the warranty period of your product (number of months).
  • Volumetry – add the dimensions of your product (packaged), the volumetry data determines its eligibility for delivery to easybox or to the customer’s home.

💡From December 13, 2024, a new European directive requires providing the following information for marketed products:

  • Manufacturer details – you must complete the name, email address, and address of the manufacturer.
  • EU responsible person details – you must complete the name, postal address, and email address of the responsible person in the EU according to Regulation (EU) 2019/1020.

Details about the manufacturer and the responsible person in the EU:

  • To comply with legal requirements, for each manufacturer or responsible person in the EU, you must complete all 3 types of information: Name, Address, Email address.
  • If the manufacturer is from the EU, their details can also be used for the responsible person in the EU.
  • The details about the manufacturer and the responsible person in the EU are completed at the offer level, and after validation, they will be displayed on the site.
  • You can complete up to 10 sets of information for manufacturers and responsible persons in the EU.

Make sure you have completed this information about your products to ensure compliance with GPSR provisions. Failure to comply may result in blocking products on the platform or even suspending activity on eMAG Marketplace until the identified irregularities are brought into compliance.

Step 8: Product Variations

For situations when you have a product available in multiple sizes or colors, it’s good to group all similar products into a product family, to display them as a single product.
You can create product families using only the family types existing on the platform.

Elements of the product family:

  • Family name– represents the name of the group to which all product variants belong. This must be related to the names of the products included in the family, and it’s important to exclude variations such as size or color. All products in the same family must have the same family name.
  • Family ID– represents the product family identifier which you will not change over time for this product family. Only numbers are accepted, it must be greater than 0 and unique for each family.
  • Family type –represents the variation based on which the products will be grouped together in a family. Here you can select one of the two values:
    • visible – all products that have this type of grouping will appear in the search results on the site.
    • hidden – all products that have this type of grouping will not be displayed in the search results on the site, but only on the product page.

Finally, press the Save button. If you have completed the documentation correctly, your product will be sent for validation. Otherwise, the changes you need to make before saving the product will be displayed.

How to group similar products

  • For situations when you have a product available in multiple sizes or colors, it’s good to group all similar products into a product family, to display them as a single product.
  • You can create product families when listing a new product, from the last step of the listing “Product Variations”.
You can also complete family grouping for products already uploaded, using the existing family types in the platform.
  • After completing the documentation for a product, you want to add to a product family, access the Products – My Products section from the Dashboard.
  • Select the product you’re editing and press Actions – Improve product. You can only edit products for which you own the documentation.
  • Access the Product Variations tab and complete all the information necessary for grouping.

For example:

If you have a sports blouse available in 3 colors and 5 sizes, then you will add 15 unique combinations of size and color. Basically, you have the same product, available in multiple colors and sizes. Customers can easily find all sizes of your product if you choose to use grouping in product families. Thus, the site will display a single product to customers, and alongside it, the other available variants will appear (size, color).

Steps for grouping products

  1. Identify products that have multiple variants – If certain products are available in multiple variants, they can have the same title, as customers will expect to find them together on a single product page.
We recommend grouping them into product families after you decide which ones can be grouped and in what combination of characteristics.
  2. Add the family name in the first field – Family name for each product – All products that are grouped in the same family must have the same name.
Remove from the family name the characteristics by which grouping is done in the product family when selecting the family type (For example: size, dimension, capacity, etc.).
  3. Establish an internal identifier for the product family and complete it in the Family Id field for each product – All products grouped under a single title must have the same identifier.
  4. Choose the family type from the predefined list – In the Family type field, you can select one of the available values depending on the product category.

Recommendations for fashion product categories

  • It is important that immediately after listing your products, before grouping them into families, you send the size chart that you receive from your manufacturer or supplier, corresponding to the products you have listed, using Message center. This way, you will be able to group your products in the appropriate sizes.
  • We even recommend adding an image with the product-specific size chart, either in the images area or in the description. This way, the customer will be able to correctly choose the right product by consulting the chart.
  • In the case of products added through association, the product family used by the seller who introduced the documentation will be automatically taken over. You will not be able to modify the family grouping and will have to associate all your products based on the products already available on the eMAG Marketplace platform.

Adding a Basic Product

Products can be listed as drafts when the product documentation is incomplete (mandatory information is missing), giving you the possibility to return to those products later and complete the listing process.

For more information, please access the Message Center.
